BookMyEvents collects the following categories of information strictly for the purpose of providing venue management services:
- Venue owner details: Name, contact information, and venue/business name provided during account setup.
- Client / customer information: Client names and 10-digit mobile numbers entered by venue operators for booking management.
- Event details: Event types (weddings, receptions, corporate events, birthdays, and other celebrations), booking dates, and guest counts.
- Financial data: Transaction amounts, advance payments, outstanding balances, and payment records entered by venue operators.
We do not collect payment card numbers, UPI credentials, or any sensitive financial authentication data. All cash and UPI payment records are manually entered by the venue operator.
2. How We Use Your Information
All data collected is processed exclusively to provide the core functions of the BookMyEvents platform:
- Venue scheduling and real-time calendar management to prevent double bookings.
- Automated generation of itemized billing and PDF invoices (covering hall rent, electricity, labor, and maintenance charges).
- Sending 1-tap WhatsApp payment notifications and booking confirmations to clients on behalf of venue operators.
- Displaying revenue analytics and booking summaries for venue management purposes.
- Smart bell alerts for overdue post-event balances.
We do not use your data for advertising, marketing profiling, or any purpose unrelated to venue management operations.
3. Data Storage & Cloud Security
All client records, booking schedules, and financial logs are stored securely on MongoDB cloud servers using modern encryption standards. Our security measures include:
- Encryption of data in transit using industry-standard protocols.
- Encrypted storage to protect against unauthorized access or data loss.
- Regular automated cloud backups to ensure business continuity for venue operators.
- Access controls that restrict data access to authorized venue operator accounts only.
Bharath Plantation maintains these security standards and reviews them periodically to align with evolving best practices.
4. Third-Party Disclosure
Client contact numbers and booking data are 100% confidential. Bharath Plantation expressly commits that:
- Client information is never sold, rented, or shared with third-party advertisers or external marketing platforms.
- Booking and financial data is not disclosed to any external party except as required by applicable law or regulatory authority.
- WhatsApp communication integrations are used solely to dispatch notifications on behalf of the venue operator to their own clients. No client contact data is retained or used by the communication service beyond message delivery.
5. User Rights & Data Control
Venue operators retain full control over their data within the BookMyEvents application:
- Edit: Booking entries, client details, and financial records can be updated at any time through the app interface.
- Delete: Individual booking records and client profiles can be deleted directly by the venue operator through the app.
- Data portability: Invoice records and booking summaries can be exported as PDF documents.
Requests for account-level data deletion or queries regarding specific data practices may be directed to Bharath Plantation support (see Section 7).
6. Data Retention
Data is retained for as long as the venue operator maintains an active BookMyEvents license. Upon license termination, venue operators may request deletion of their account data. Financial records may be retained for the minimum period required by applicable Indian accounting and tax regulations.
